General Summary

Provide recruiting support to the Chief Pilot's Office. Coordinate, manage, and support pilot equipment, uniforms, and software during the onboarding phase and continuation of operations. Manage and maintain the appropriate pilot certificates and databases during onboarding and departing the DPJ operating certificate. Coordinate the flight operations publications change management process. 



  • Build, maintain, and update the pool of qualified applicants for selection as the staffing model dictates
  • Participate in the crewmember selection process, including reviewing applications, participating in interviews, and providing objective feedback to the Chief Pilot's Office
  • Begin the inter-department notification process when crewmembers are selected for onboarding
  • Arrange all required hardware and software applications for pilot on-boarding
  • Serve as a clearing house for all incoming and requested PRIA records
  • Complete all pilot background checks through the appropriate databases – i.e., NATA, FBI, ESR, etc.
  • Arrange and manage all pilot onboarding travel logistics – i.e. airline positive space, hotels, and cars relating to CVG at initial indoctrination and/or aircraft initial training
  • Arrange, setup, and manage the pilot hospitality items during initial and recurrent indoc events
  • Complete and ensure accurate procurement and issuance of pilot uniforms at the pilot onboarding phase
  • Upload and maintain current digital records database, ensuring that all required crew information of airman medical, airman certificate, passport, and restricted radiotelephone operator permits
  • Partner with cross department teams in the aircraft on-boarding process to ensure regulatory compliance
  • Support the aircraft onboarding/conformity process relating to Flight Operations requirements
  • Augment the Operations Support Staff relating to continuing compliance, customer service, and crewmember services
  • Oversee subscription management between DPJ, associated vendors, and pilots (activation, renewal, updates, deactivation, and invoice review/approval) to include:
      • Weight and Balance
      • Performance (APG)
      • Flight Planning databases (, ARINC, etc.)
      • Aeronautical charting and aeronautical database (Jeppesen)
  • Create and manage the personnel processes for crew member onboarding
    • Create crewmember profiles in FOS, ARGUS and Wyvern
  • Manage Training Agreements for all pilot training events, as applicable
  • Backup and support the DER as a qualified representative
  • Oversee and coordinate Pub Change Request process to include:
    • Coordinating and scheduling department resources
    • Review submitting requests
    • Submit and review final changes to publication vendor(s)
    • Publish revisions to crew repositories
  • Perform other duties and/or special projects as assigned by the Director of Operations or higher authority



  • High school diploma or GED required.
  • Aviation industry experience – flight operations preferred (1+ years).
  • Strong experience handling multiple complex projects with shifting and/or competing priorities.
  • Advanced ability to use Microsoft Office products.
  • Experience keeping detailed records.
  • Excellent interpersonal and relationship building skills.
